To arrange a visit or if you have any questions, please email Joe Howlett: [email protected] Job Description Title: School Receptionist and Administrator Salary: S6–S10, £20,654 - £23,802 (£22,451 – £25,872 FTE) - Starting salary point dependent on experience Reports to: School Business Manager Working hours: 7:45 – 4:30am Working pattern: Predominantly term time working (41 weeks), with 10 days required during School holidays The role: • To be welcoming and providing a high level of service to visitors, staff, parents and children. • To maintain effective systems and processes in the administration of the school. Specific duties: Reception  Receive visitors/callers to the school in a friendly, professional and welcoming manner. Provide high quality customer care and assistance and show sensitivity when required  Deal effectively and efficiently with telephone enquiries, routing calls and taking messages in accordance with school procedures  Ensure security, safeguarding and health & safety requirements are followed and the Reception area is welcoming, tidy and safe.  Support with emergency evacuation procedures by ensuring that all visitors and staff are accounted for  Provide appropriate handover information to ensure smooth running of the service  Carry out First Aid duties and undertake training as required  To maintain and update paper and electronic records, with an appropriate level of discretion  To support the maintenance of the school website in conjunction with school business manager and admin team members.  To provide effective communication with parents, staff and visitors Administrative  Follow standard operating procedures to ensure the smooth-running of school administration processes  Undertake all tasks involved in the management of post,mail and parcels. Including the safe receipt of deliveries/good, timely distribution, actioning special delivery arrangemen.  Support the Finance and HR administrator to ensure school wide resources are replenished and updated as required  Undertake reprographic duties when required  Maintain school filing systems and databases and assist with creating new student files and archiving activities  Administration of the school signing in system (Swipedon) and ensure this is used consistently by staff and visitors.  Support with meeting arrangements and oversee use of the meeting rooms and other specialist rooms, arranging facilities and refreshments, greeting and escorting visitors and liaising with staff and external agencies as required  Support the administration of in year admissions and new starters  Provide advice to parents  Arrange ad hoc transport for students and staff and as required for school activities and events  Assist the Finance and HR Officer with the recruitment process and accompanying personnel paperwork  Assist in the operation of school events and the production of related materials. This may require some evening and/or weekend working.  Provide full clerical and administrative support to senior and middle leaders as required  Support with producing and maintaining high quality displays of work and signage in the school buildings  Work co-operatively and support the school’s self improvement procedures and commit to your own continued professional development  Undertake such training as is necessary to operate the academy systems effectively and ensure that academy procedures are adhered to  Undertake any other duties within the scope and purpose of this post as directed by the line manager Other • To participate in appraisal and undertake training as required • Undertake other various responsibilities as directed by the Principal • Support the academy’s values and ethos This document is considered to provide an outline of the areas that this role involves.
