Starting salary point dependent on experience. Salary pending inflationary pay scale review Reports to: Academy Business Manager Working hours: 7:55am – 4:30pm Working pattern: Term time working with 20 days required during school holidays (43 weeks), The role: ● To provide effective, efficient and high quality administrative support to One Degree Academy ● To support the Finance, HR and Data functions of the school to ensure the effective delivery of these functions. Specific duties: Administration • To provide general clerical assistance to all staff at the school • To maintain and update paper and electronic records, with an appropriate level of discretion • To provide general advice, guidance and direction to pupils, visitors and staff members • To cover main reception as and when required • To access and action emails on a daily basis • To undertake general reception and administrative duties, such as filing, answering the phone • To support in the delivery of first aid and welfare services HR Role ● To maintain and operate HR systems, including DBS checks. ● To coordinate recruitment packs ● To maintain Staff files in line with the HR matrix ● To ensure starters & leavers processes are followed ● To assist with human resource enquiries from other staff members ● To Process monthly payroll changes, annual leave, overtime, expenses ● Updated Payroll with any contract changes ● Provides HR admin service. I.e HR Comms to staff ● To support the Business manager to complete all annual HR, HMRC, Pension returns ● Coordinate contract letters (to be checked by Principal) ● Coordinate return to work meetings ● Monitor absence and highlight any trends & Support in the LOA process ● Coordinate Data collection forms & Salary statements Student Data ● To maintain, operate and keep up-to-date the school’s student record and management information systems as required. Pastoral Care ● To contribute to the academy’s excellent attendance levels by supporting with pupil attendance as required ● To help promote and safeguard the welfare of all students, staff. ● To promote self-discipline, high standards of behaviour and positive attitudes on the part of all students and to implement policies and procedures to foster them ● To ensure that a high standard of care and good order for all students is maintained through the development and implementation of behaviour systems Finance • Data processing of orders, GRN’s and invoices checking for accuracy and in line with financial procedures • To check incoming stock and arrange distribution/storage of the same dealing with any queries arising • To ensure orders/Goods received notes/invoices are approved within the trusts scheme of delegation, finance regulations and relevant budget holders ensuring they have all relevant supporting documentation • Investigate and resolve supplier order & invoices under query, arranging returns and ensuring refunds or credit notes are received • To liaise with school suppliers and service providers • Reconcile monthly supplier statements • Day to day administration of lettings, respond to lettings enquiries and regular bookings, raise invoices and ensure payment received • Process and reconcile all income • To ensure all monthly transactions expenditure/income is posted in line with ODA’s Budget • To ensure all the Academies expenses are processed in line with finance regulations (e.g. Credit card, staff expenses). • Maintain filing system of financial records • Dealing with finance helpdesk queries • Carry out general financial and HR admin tasks as directed • To ensure a full month end checklist has been completed in line with ODA’s financial timeline. • Maintain parent payment systems. • Maintain high standards when managing confidential information, complying with the data protection policies and legal requirements • To assist the Business manager with the internal and external audits • To advise the Business manager of any significant debtors and creditors in line with monthly checklists. • To ensure correct coding of VAT and descriptions for Academy transactions, in line with HMRC guidance. • To ensure all new suppliers have been correctly verified following IR35 and ensuring the current suppliers list has been checked first. Other ● Undertake and when required, deliver or be part of the appraisal system and relevant training and professional development ● Undertake other various responsibilities as directed by the Principal This document is considered to provide an outline of the areas that this role involves.
